How can I utilise my BDM license?

The BDM user licenses gives you the necessary tools to engage with employers, prepare for your visits, add adverts either with the employer, or using a digital VRF, and keeps you updated on the vacancy status.

Employer engagement

If you need to find industry, wage, region, diversity and application information prior to visiting an employer, then the Recruitment Analytics report will help!  Login to providersonline and Access the report tab and open the recruitment analytics report.

Here, you can select a date range and gain insights on the number of registered candidates across the UK on the Talentportal, or select a specific region to narrow your data report for your employer. The diversity page shows information on age, gender, disabilities and ethnicity nationwide or in a particular region. And the vacancies page offers valuable insight into industry interest, applications, days to fill and average wages across the UK, in a particular region or even a specific industry.

This report can be exported, or you can take a screen shot of the particular page you need to help with your employer engagement.

Before visiting the employer…

As well as gaining insights from the Recruitment Analytics report, why not utilise the system to prepare your employer visit?

You can create a dummy vacancy in the CRM, to search the candidate Talentpool before visiting the employer, so are fully aware of the number of active and suitable candidates in their area!

To do this, access the CRM and create new employer, add your name and dummy vacacy in the employer name and the employer address in the address fields. Then press save and add vacancy. Complete the with a red asterisk but remember to keep ‘do not advertise on gmfj’ ticked as this isn’t a real vacancy. Once all the required fields are completed, scroll down and press save, then access the shortlist page.

You can use the drop down fields to see how many suitable, active candidates are in the employers area.

And when you are visiting another employer, simply access the crm and find your dummy company record, then edit the address details so you can add the new employers location, press save and view the dummy vacancy. You can then go to the shortlist page, and search the database before this meeting too.

Adding the employer and vacancy

Once the employer is happy and ready to get going with their new apprenticeship vacancy, you can either complete the details during your visit…providing you have access to the internet OR send a digital VRF…

BUT FIRST, you need to add the employer in the CRM- you may want to check they haven’t already been added by someone else.

Here you can add notes to track the development and conversations.

We also suggest adding their logo if you have one, as this can improve application rates by over 100%!.

You can also add multiple addresses here, if the employer is hiring acoss different sites.

And record the best contact numbers and email addresses for the company. As well as allocating the best contact at the company so the recruiter knows who is the best person to speak too.

All on? Then you can add the vacany manually. All you need to do is press add vacancy.

Complete as many fields as you can…applications will improve if all the fields are completed with engaging content. You can keep the vacancy hidden until the recruiter had check over it by ticking “do not advertise on gmfj”.

At the bottom of the page, allocate the role to a recruiter, and add your own name under BDM. Then press save. The vacancy will go live- though no candidates can apply until the recruiter has unticked the “do not advertise” button. We also suggest emailing the recruiter at this instance, informing them this new role has been allocated to them.

Or, you can generate a digital VRF and send it over to the, which cuts out a lot of time!

To generate this code, you need to create a CRM record and have added a logo here too.

Clicking generate VRF will give you a URL link which needs to be emailed to the employer for them to complete digitally.

Once completed, the vacancy is sent straight to your Talentportal account, so encourage the employer to let you know when they have sent it. The recruiter can then check the advert has everything they need, and make the vacancy live. Simple!

Keeping the employer informed

Throughout the process, you may need to let your employer know the status of the vacancy. Luckily, with the BDM license you can either use the homepage to view all live vacancies you are allocated too. Or access the vacancy tab to find a colleagues vacancy. Clicking into the vacancy details page allows you to access the MANAGE ladder to see how many candidates are at what stage, so you can keep your employer updated.

You can also use the Recruitment Review report to share with the employer how well the advert has done with regards to applications.

Access the report tab and select recruitment review.

The first page, shares advert views and application information in your selected date range- its easy to use the sliders or text boxes to change the dates you need. You can even select your employer from the drop down and choose a specific vacancy to find their views and application rates as well as diversity information. The 2ndpage, “application process’ offers insight into where your applications are coming from, and once again you are able to chose a specific employer and vacancy to see if any extra push from a marketing campaign resulted in a successful candidate being sourced here.

The recruitment dashboard shows you activity of the recruitment team including how many texts have been sent, successes and advert quality.

And the final page “recruitment process” lists all live vacancies and flags any issues which may slow down the recruitment process, including a low wage, a lack of logo and applications remaining unprocessed.
