How do I fill/ close a vacancy?

When a candidate from the system has been offered a position, you can fill and close the vacancy on the manage ladder.

It’s great when an employer lets you know they would like to hire one of your candidates as an employee!

It’s important to track this success on your manage ladder to keep a record of your fill and remove the candidate from the database.

Let’s start by accessing a role where a candidate has been offered a position. Make sure you ring the successful candidate to congratulate them and confirm start dates and time. Once this has been done, on your manage ladder, move the candidate to successful and add in the agreed start date and time. Simple!

Now this successful candidate will be removed from the GetMyFirstJob database; so no other provider will be contacting them.

But you may still have some candidates to contact who were not successful, so remember to call them and give them some feedback on their progress.

Once your successful candidate is in successful, and you have completed all other tasks (including closing the role on NAS if necessary) you can close the vacancy.

Very simply, press close on your manage ladder. This will make all candidates – excluding your successful one, move down to unsuccessful and close the advert on GMFJ, the GMFJ app, social media and your website too!

We also suggest sending a reminder text to your successful candidate to remind them of their start date, time and employer location.

But what about those roles which require more than one candidate?

You can check if you are looking for multiple candidates for a vacancy, on your vacancy details page and in the number of vacancies field.

So just like before, progress your successful candidates up to the top, and when you have filled all the roles press close!

This number needs to match the amount of candidates in the successful stage on your ladder before you can close the role. If it doesn’t, the close button will not appear.

If for any reason the vacancy circumstances change, and you require more or less candidates, you can easily change the number on your vacancy details page and press save.

Remember, the vacancy will not close if the amount of candidates does not match the number in your number of vacancies field. Learn how to fill with multiple candidates here!
